Hawthorne Accounting Services LLC respects the privacy and confidentiality of its clients and website visitors. This Privacy Policy explains generally what information we collect, how we use and protect it, and when it may be disclosed.
1. Information We Collect
We may collect information that you voluntarily provide to us, including:
- your name, email address, telephone number, and mailing address;
- information and eligibility certifications submitted through a Request for Services, including confirmation that the requester is a current New Jersey resident, is the living taxpayer requesting that taxpayer's own records, has the legal capacity to enter into the Service Agreement and provide the required IRS authorization, and is not acting for another taxpayer;
- tax years and general information concerning the service requested;
- feedback you voluntarily provide through the post-service Client Feedback Survey, including service ratings, comments, optional name or email information, and any optional testimonial-publication permission you choose to grant;
- information necessary to establish and administer a client relationship; and
- after an engagement is accepted, tax, identity, financial, and other information necessary to perform the requested professional services.
Sensitive information such as Social Security numbers, ITINs, government-issued identification, IRS transcripts, tax returns, IRS account information, and other confidential tax or identity information must not be submitted through the public website form or ordinary email.
Such information must be transmitted only through Verifyle or another secure transmission method approved and provided by Hawthorne Accounting Services LLC.
Our website or hosting provider may also automatically receive ordinary technical information such as IP address, browser type, device information, access times, pages visited, and similar website-security or operational information.
2. How We Use Information
We may use information for legitimate business and professional purposes, including to:
- review and respond to requests for services;
- determine whether the requester satisfies the service's eligibility requirements and whether to accept an engagement;
- provide professional tax and related services;
- verify that the individual client is the taxpayer receiving the service, verify identity, and obtain appropriate IRS authorization from that taxpayer;
- communicate with clients and prospective clients;
- evaluate and improve client service using feedback voluntarily submitted through the Client Feedback Survey;
- when a client expressly grants optional testimonial permission, quote that client's written survey comments in public testimonials or Firm marketing materials in accordance with that permission;
- process payments;
- maintain required business and professional records;
- operate, secure, maintain, and improve the website and our systems;
- prevent fraud, misuse, or security incidents; and
- comply with legal, regulatory, professional, or governmental requirements.
We do not sell personal information. We do not use client tax information for unrelated advertising or sell it to marketers.
Feedback submitted through the Client Feedback Survey is used for internal service evaluation unless the client voluntarily selects the separate Optional Testimonial Permission checkbox. Selecting that checkbox authorizes Hawthorne Accounting Services LLC to quote the written comments submitted in that survey as a public testimonial on AskTaxSpecialist.com and in other Firm marketing materials. Testimonial permission is voluntary and is not a condition of receiving services.
Unless the client separately authorizes otherwise, a published testimonial may identify the client only by first name and last initial, or may be published anonymously at the Firm's discretion. The Firm will not publish the client's email address, Social Security number, ITIN, tax records, transcript information, or other sensitive tax or identity information as part of a testimonial. A client may withdraw testimonial permission for future use by contacting the Firm. Feedback for which testimonial permission was not granted will not be published as a testimonial.
3. When Information May Be Disclosed
We may disclose information when reasonably necessary to provide services or operate our business, including to service providers such as secure client-portal providers, payment processors, hosting or technology providers, and other vendors that assist us in providing or protecting our services.
Information may also be disclosed:
- with your authorization;
- to the IRS or another governmental authority as necessary to perform an authorized service;
- as required or permitted by federal or state law, regulation, subpoena, court order, or other lawful process;
- to protect against fraud, unauthorized activity, security threats, or misuse;
- to establish, exercise, or defend legal rights or claims; or
- to professional advisers, insurers, auditors, or other persons when reasonably necessary and legally permitted.
We do not disclose nonpublic personal information to unaffiliated third parties for their independent marketing purposes except with appropriate authorization or as otherwise permitted by law.

No website, electronic transmission, or information system can be guaranteed to be completely secure. Accordingly, while we use reasonable safeguards, we cannot guarantee that unauthorized access, loss, misuse, or other security incidents will never occur.
5. Retention of Information
We retain information for as long as reasonably necessary for the purposes for which it was collected and as appropriate to comply with legal, tax, professional, security, insurance, record-retention, dispute-resolution, and business requirements.
Information may therefore remain in our records after an engagement or request for services has ended.

Such rights are subject to applicable exceptions, including legal and professional record-retention requirements, contractual obligations, security and fraud-prevention needs, evidentiary requirements, and other rights and obligations permitted by law.

Verifyle may also generate automated platform notifications. Sensitive tax or identity information must not be sent by ordinary email and should instead be submitted through Verifyle or another approved secure transmission method.
